CapMedia has a built-in CRM system, which allows the account manager to always know how a customer advertise in the media house – across all media.
You can send sales letters and these are logged in to CRM, the account manager can set up reminders which are then sent to their mobile devices. You have the option to quickly see a customer’s revenue, balance and possibly re-send an invoice via email.
In order history, previous orders can be found and viewed, and materials may be selected and copied for a new order, or you can open earlier orders and make a copy based on information from the old order.
It is a useful tool for the account manager who can always find relevant information about a customer and will be able to answer questions and retrieve customer data across all media. Everything collected one place makes everyday life easy for the seller.
CapMedia’s order and booking system provides the opportunity to collaborate between products and across media, as well as sending offers, order confirmations and proof email with a copy of the ad as PDF.
There are three media tabs in CapMedia. Print, E-Media and Radio/TV.
Print is for booking informations for newspapers and magazines etc. Size, placement, production type. Based on the chosen choices a prize calculated on the run. You can use options like Split, campaign
etc.
E-Media is a product-based ordering system that can handle all possible sales, such as media agency, banner advertising, subscriptions or simply sales.
Radio/TV is for booking informations for Spot, number of settlements, seconds, allocation etc. Based on this, the prize is calculated
You have direct access from the order to CapMedias CRM, where information about the advertiser is available, such as: remarks, sales turnover per product, balance, price agreements, order history, order confirmation/offer and financial setup for invoicing. This allows account managers a full overview of the sales and booking process.
The system allows you to choose whether the ad is to be produced internally or externally. If external production is selected, CapMedia will arrange to send orders and materials to the manufacturer.
The entire production flow is tracked via the productionlist so you can see when everything is ready and see any error messages from validating the ad.
If you receive external orders, these are automatically created, from e.g. DLU, Media agencies, Mediatrade and others
Materials for the advertisement can be sent by email to CapMedia, which places these on the desired order. Finished materials can be automatically linked, which means that orders can be created without active involvement.
A copy of the print ad can be sent to Web, mobile and other devices so that the costs associated with their production are minimal.
A built-in banner booking module handles both booking, production and ensures sending data to the publishing system.
CapMedia has a media agency order system, in this system it is the customer himself who defines what to register for the individual product/tasks, for example, books, beach flags, web production and it is possible to make time registration which can subsequently be settled.
Planning starts with a Production calendar. Here you create the dates where the publication is to be published.
In Dummy you can see how many ads have been booked for the publication and how many millimetres.
When entering page numbers, CapMedia takes page groups from the last release with the number of pages on the same day/week and sets up.
The page groups can easily be changed to suit current release.
Ads that have been booked to a particular page are easily placed and you can place the rest by entering the page number.
Ads can also be placed later, directly on InDesign’s single pages.
Once you have placed the ads you want, press “Create Dummy” and CapMedia opens a dummy document in InDesign with all pages. Here you can move ads and place the ads you did not place by typing page numbers.
Finally, click “Save Dummy” and CapMedia scans the document for ad placements and write it in the database.
Single pages are created from the “Pages – Production” window. This can be done on an InDesignServer or on your own computer.
In Dummy you can easily insert an Appendix, if you, for example, have a Housing supplement to be inserted in the middle of a product and the pages must be reversed.
CapEdit is a module for handling articles, telegrams, images, video and audio, and serves as an extension to CapMedia, but without requiring additional server etc..
The system can handle articles written in CapEdit’s own editor and “write back” when pages are approved so that thereafter you can publish the printed article.
Articles can be linked to products and releases, and register who will write it. As the article finishes, its status changes.
Articles and images can be divided into categories. Images are linked to the article, either directly from the file system or from the built-in image module. The system also provides the ability to integrate into an image processing system so images are automatically processed.
An article can be published directly from the editing module and images and video can be customized to the publishing system. You can freely choose how many images or videos to be published on the digital platform regardless of the print version.
You can import telegrams from Ritzau and other news agencies that comply with international standards. Telegrams can contain images, video, audio and other documents that are linked as attachments. It is possible to import texts and documents from a email account – for example tipavisen@minemail.dk. Telegrams are converted into articles, and the selected attachments are linked to the article, and you can always see the original telegram with a single click from the article.
You have integration for publishing systems, where it is possible for CapEdit to retrieve articles written in the built-in CMS and download associated images and other items that may also be retrieved from other information such as number of clicks, last read and more.
Production lists
All orders can be easily tracked in the production list, and thus not being missed in the final product. The list is updated regularly with information about how far an ad is in production or whether it is received with or without errors from an external producer.
Dummy and Editing
Dummy and planning of a newspaper happen in CapMedia and Adobe InDesign. This happens without the use of plug-ins or other software installed, which means that anyone who has an InDesign application on their computer can edit pages to the newspapers.
All newspapers are produced separately, for example Housing, Car, Travel etc.
When creating the Dummy for the main newspaper, you can easily add other products to the main newspaper and choose to flip/reverse these, CapMedia will ensure that pages are placed correctly and paginated according to the selected page.
This feature can save a lot of time when the newspaper is planned and sent to the printer.
Editing of classified ads can be done on any machine that has CapMedia and an InDesign application installed, this does not require additional plugins.
Page production
All pages are created by CapMedia and can then be loaded into any editorial system where articles and images are mounted, the pages are sent via CapMedia, to the printer, with the correct pagination and other standard elements.
CapMedia manages the entire ad production and subsequent page production so that ads can be easily followed to pages, all pages and ads are checked before shipment, so risk of loss of ads is minimal.
All pages are sent via a DTP server or one’s own computer, ensuring a consistent quality of the pages.
Once a newspaper has been published, CapMedia can deliver a summary of all ads based on the pages that were sent, and in that regard, form PDF for examples to an E-Paper.
CapMedia will ensure to invoice all orders across media, so the customer receives a single invoice. It is possible to split invoices on media and products if requested.
Invoices are generated on the basis of data from the order, and therefore requires no additional entry, which ensures minimal errors associated with billing.
CapMedia manages currency and can update currency continuously so as not to lose unnecessary revenue due to exchange rates. It is possible to handle multiple accounts and products, and in connection with billing, CapMedia can provide information on invoice breakdown, between the different products and accounts.
You can to send invoices via email, OIO, EAN, PBS and via letter mail – CapMedia ensures that an invoice is only sent via one of the channels, but you can always resend an invoice to another channel.
You have the option to charge different types of fees depending on the channel that the invoice is sent through the first time, so that customers could pay more for a printed invoice than one sent by email.
When sending an invoice via the digital channels, you can send a copy of the billed ads – just by a single click, CapMedia will ensure that this task is resolved.
Today there is more integration into different financial systems, such as Navision, eConomic, C5, etc.
An informationdocument has been made explaining how data that can be sent or retrieved in CapMedia. Therefore, new integration can be developed relatively quickly to other financial systems.
You can leave the billing to the financial system, but this will often mean that the account managers lose valuable information about the customers, which they will instead need to get from the finance department.
You have special pricing of print ads because this is often a complex collection of discount options.
In addition, there is a product-based system with different types of devices for E-Media – it can be subscriptions, hours, days, CPM and much more.
CapMedia handles the sale of ads for newspapers, other print options, radio, TV, books, agency tasks, subscriptions and web announcements – even the sale of coffee if you wish – in short, the sale of all that a media house can offer their customers can be sold and registered through the order module.
All price lists can be linked to one or more customers, thus creating a customer agreement chosen and used by CapMedia. The choice of the customer’s price is automatically done with the starting point in the information that is registered on an order.
Statistics can be extracted on products, sales, customers and much more.
You can quickly get knowledge about periods and how the sales have been on the individual products.
Statistics can be retrieved on account managers, customer, media and products.
It is possible to receive statistics via email.
You are provided an opportunity to push fixed statistics to individual account managers, or if a CEO wishes a total overview daily, every week or month. The advantage of using the email feature is that you can always compare with previous statistics.
Sometimes the issue can be that the options for making different choices either make it too complex for the individual or that the content of the statistics is based on different choices – this is solved in CapMedia by creating a “setting” that always extracts the statistics on same basis.
In CapMedia CRM, it is possible with a single click to see a customer’s revenue on all media and products, and compare to earlier periods, which means that an account manager can always see a customer’s revenue in seconds. This is valuable information when on a call with the customer.
There is integration to BI systems, and it is possible to retrieve data in for example Microsoft Excel or Microsoft BI, thereby analysing further on sales, revenue and many other parameters.
Since we can convert data from previous systems, statistics will be useful from the first day, which of course is an important parameter for an account manager, they do not need to spend unnecessary time to retrieve data in an outdated system, but only concentrate on sales.
